As part of the functions carried out by Schools North East we provide through our trading subsidiary, Schools North East Trading Limited (referred to in the policy as SNE Trading) a dedicated portal for the provision of the Jobs in Schools | North East staff recruitment website. The aim of this service is to provide an efficient means by which Schools can advertise vacancies and be connected with potential candidates.

Schools North East for itself and for Schools North East Trading Limited provides users of its website with a general privacy notice covering other circumstances in which we may collect and hold Personal Data. This privacy policy sets how SNE Trading obtains (whether from you directly or from a third party) and processes Personal Data (including processing involving passing some or all of the data to third parties) and the steps that we take to protect any information that we are provided with  through the Jobs in Schools | North East website or otherwise provide with for the purpose of you taking advantage of this facility.

SNE Trading Limited is a private company limited by and is a wholly owned subsidiary of Schools North East and gifts all its profits to the charity Schools North East to help provide as much support for North East schools as possible.

Personal data is any information that relates to a living individual who can be identified from that data and so covers the information you may provide to us.

Purpose
We provide you with the information set out in this Privacy Policy so that if you share your personal data with us you are aware of amongst other matters, what we do with it, how we protect the data you provide, how long we hold the data and to summarise your rights that you may exercise in relation to your personal data.

Data Controller
SNE Trading is the data controller of your personal data and we will only collect information in accordance with the Data Protection Legislation. Our contact details are listed below.

When data is passed to a school for the purpose of evaluating a candidate’s application made to that school, the school then becomes a data controller in its own right. You should check through the relevant School website as to its own privacy arrangements specifically in relation to its recruitment specific policy.

Data we Collect, Process and Control
How we collect data:

SCHOOLS:

When a School wishes to use this facility we require:

  • Name job and contact details for the individual responsible for your relationship with us;
  • Organisation information (ie not Personal Data but data associated with that person) including location, phase and type of education, religious status (if applicable), Ofsted grading, governance or if relevant charitable or commercial operational arrangements;
  • We may from time to time request feedback or case studies from users of this facility but we will only publish comments received with an express consent provided to do so and which consent has not subsequently been withdrawn.

PROSPECTIVE CANDIDATES:

When a prospective candidate registers with the site, we require certain personal data to ensure that relevant alerts may be provided relating to job opportunities notified to us by participating schools.

The information we require will be:

  • Name;
  • E-Mail address;
  • Telephone number;
  • Job Role;
  • Location;
  • Subject;
  • University attended.

Use of Personal Data
We use the information that you personally provide to:

  • Provide the Jobs in Schools | North East facility;
  • Improve the information and support we provide;
  • Process any requests you make;
  • Provide you with information about products and services we offer;
  • Conduct market research to the extent permitted by Data Protection Legislation

Sensitive (Special Category) Information
Our basic information requests made of potential candidates does not involve the collection of information categorised within Data Protection Legislation as Special Category Personal Data.

Candidates have the option of uploading application forms and other documents through the site when applying for specific jobs, these may include but not limited to:

  • Application form
  • Rehabilitation of Offenders Form
  • Recruitment Monitoring Form
  • Childcare Disqualification Form
  • Criminal Records Declaration Form

What we do with the information we gather
If an applicant applies for a job directly through Jobs in Schools | North East then all information is stored under arrangements explained in the “How we protect your Personal Data” section later in this document.

A certain amount of the data collected may be used for statistical and research purposes in an anonymized form.

Automated Decision Making (profiling using your personal data)
The only processing we undertake that would, under Data Protection Legislation, be regarded as profiling of Personal Data is for the purpose of matching candidates to job opportunities. The result of that processing is only notified to the prospective candidate.

What we do when you provide special category data to us
Special Category data is accorded extra protection under Data Protection Legislation. We and our sub-processors are required to ensure that the data is stored with appropriate security in place. We only anticipate processing of Special Category data:

  • Under an express instruction from the prospective candidate – the instruction being to forward that person’s application form and supporting documents as listed above, to a specific school;
  • Where a school requests the application form and supporting documents to be resent for any reason whilst the candidate consent to provide the data is still valid and we continue to have access to the documents.
  • Where processing is necessary for the establishment, exercise or defence of legal claims or whenever courts are acting in their judicial capacity;
  • Other grounds entitling us to process Special Category data are provided for at Regulation 9 of the General Data Protection Regulation and may be reviewed here.

How long do we hold your personal data for
A prospective candidate who has registered with our site will have that data retained for so long as that person retains a live registration with Jobs in Schools | North  East. Where candidates are applying through the site we will hold any uploaded application form and supporting documents for 1 month after the closing date advised to us for any specific job vacancy and thereafter it will be destroyed and not retrievable.

The  Personal Data concerned may thereafter be present in back up copies of our data, held by UK Fast.  We authorise the retaining of back up copies in accordance with our legitimate interests allowing us to address any issues that subsequently arise that concern or touch on an individual’s Personal Data.

Your rights as a data subject where we hold your personal data
Under certain circumstances, you have rights under data protection laws in relation to your personal data. These include the following rights:

  • The right to request access to your personal data;
  • The right to request correction of your personal data;
  • The right to request erasure of your personal data;
  • The right to object to processing of your personal data;
  • The right to request restriction of processing your personal data;
  • The right to request the transfer of your personal data;
  • The right to withdraw any consent you have given.

You will not have to pay a fee to access your personal data (or to exercise any of your other rights). However, we may charge a reasonable fee if your request is clearly unfounded, repetitive or excessive. Alternatively, we may refuse to comply with your request in these circumstances.

We may need to request specific information from you to help us confirm your identity and ensure your right to access your personal data (or to exercise any of your other rights). This is a security measure to ensure that personal data is not disclosed to any person who has no right to receive it. We may also contact you to ask you for further information in relation to your request to speed up our response.

How we protect the security of your Personal Data
We are committed to ensuring the security of your personal data. In order to prevent unauthorised access to or disclosure of your personal data we have put in place suitable physical, electronic and managerial procedures to safeguard and secure the information we hold concerning you.  Access to the system is limited to SNE Trading staff and all accounts are protected under password.

The Jobs in Schools | North East Portal provides you with access to a dedicated website. This is managed on our behalf by service provider Union Room. Union Room sub-contracts the actual storage of our data through its contract with UK Fast a major provider of data storage services. Union Room will also retain itself back up copies of our data in order to assure service resilience.

We are responsible for satisfying ourselves (to the extent reasonably practicable) that Union Room has appropriate measures in place for the protection of your Personal Data and in turn are satisfied with the measures taken by UK Fast. Union Room is only entitled to process Personal Data provided by us in line with our specific written instructions.

Union Room may only commit to changing its data centre provider from UK Fast having first consulted with us about its proposal including the identity of the proposed new provider. We have a right under Data Protection Legislation to object and we will give appropriate consideration to the proposal made to us.

Transfers of Personal Data outside of the EEA
Neither Schools North East nor SNE Trading transfer Personal Data outside of the EEA.

We are entitled to be consulted if circumstances change and have a right to object. We would expect to object if a proposal arises to transfer data outside of the protections afforded by EEA members in a manner that is not approved by the appropriate Governmental bodies.

Third Parties use of your Personal Data
We will not sell or share your personal data with others save as expressly provided for in this Privacy Notice or where as a matter of law we are required to do so.

Tracking
We also collect information automatically about your visits to our site. The information obtained in this way, which includes demographic data and browsing patterns, is only used in aggregate form, and as such cannot be used to identify you personally. Such aggregate information helps us to audit usage of our website and improve the service provided.
